Cancellation & Rescheduling Policy

I understand that life with a new baby can be unpredictable and that circumstances can change quickly. This policy is intended to protect the time I have reserved for your family while allowing reasonable flexibility during the postnatal period.
1. Booking Deposit
Deposit: A 25% non-refundable deposit is required to secure your booking. The deposit is calculated on the cost of the service/package and does not include travel expenses. Any applicable travel costs will be added separately.
The deposit is non-refundable if you choose to cancel your booking, as it covers the time reserved for your family and may mean that I have turned away other enquiries.
If your circumstances change and you need to reschedule, I will normally be happy to transfer your deposit to a new booking, subject to my availability.
If I am unable to provide the agreed support, your deposit will be refunded in full.
2. Cancelling or Rescheduling a Visit
48 hours or more notice
If you give at least 48 hours’ notice, you can cancel or reschedule your booked visit without any additional cancellation charge.
For cancellations, your deposit will be retained and any amount paid above the deposit will be refunded.
For rescheduling, your deposit can be transferred to your new booking, subject to my availability.
Less than 48 hours’ notice
For cancellations or rescheduling with less than 48 hours’ notice, your deposit will be retained and a cancellation charge of 50% of the remaining visit balance will apply.
This reflects the time reserved for your family and the difficulty of filling a short-notice appointment.
Less than 24 hours’ notice or non-attendance
For cancellations made less than 24 hours before a scheduled visit, or if you are not available for the visit without prior notice, the full remaining visit balance will be charged in addition to the non-refundable deposit.
3. Illness and Emergencies
I understand that illness and emergencies happen, particularly during the postnatal period.
If you or your baby become unwell, or an unexpected emergency occurs, please let me know as soon as possible.
I will always consider genuine illness, emergencies and significant unexpected circumstances with understanding and may waive or reduce a cancellation charge where appropriate.
4. Changes Following Your Baby’s Arrival
Babies do not always arrive according to plan, and your needs may change once you are home together.
If your baby arrives earlier or later than expected, or your circumstances change significantly after the birth, please speak to me as soon as possible.
Where I can, I will work with you to rearrange your support rather than treating the change as a cancellation. Any rearranged support remains subject to my availability.
5. If I Need to Cancel
If I need to cancel a visit because I am unexpectedly unavailable, I will let you know as soon as possible.
I will do my best to offer an alternative date or time.
If I am unable to provide the agreed support and we cannot find a suitable alternative, any payment made for the cancelled visit will be refunded in full.
6. A Note About Flexibility
My intention is not to penalise families for circumstances they cannot control.
The postnatal period can be unpredictable, and I will always try to approach cancellations and changes with understanding.
At the same time, my time is reserved specifically for your family, and last-minute cancellations can mean lost income and an appointment that I cannot offer to another family.
My aim is to find a fair balance: providing flexibility when life changes unexpectedly, while making sure my time and work are respected too.
